Central Rentals Canada Inc. ("Central Rentals", "we", "us", "our") operates the Central Rentals Canada mobile application and centralrentals.ca (the "Service"). We are a Canadian property-management platform headquartered in Edmonton, Alberta. This Privacy Policy explains what personal information we collect, why we collect it, how we use and share it, and the rights you have under Canadian privacy law (PIPEDA) and applicable provincial privacy legislation.
(a) Account data — name, email, phone number, password hash (bcrypt), role. (b) Profile data — photo, mailing address, language preference. (c) Property and lease data — property addresses, unit details, lease documents, rent amounts, deposit amounts, tenant names. (d) Payment data — Stripe customer ID, last 4 digits of card; full card numbers are processed by Stripe and never stored on our servers. (e) Maintenance data — text descriptions, photos and videos. (f) Tenant screening data (with explicit consent) — DOB, employer, references, credit/background check results. (g) Device & usage data — IP, device model, OS, app version, language, timezone, app interaction events, push tokens.
To provide the Service (accounts, listings, rent collection, maintenance, lease generation); authenticate you; fulfill legal obligations (tax filings such as T776, anti-fraud, AML); protect users (audit logs, access control); communicate with you; and improve the Service (aggregated analytics). We do not sell personal information.
Under PIPEDA and provincial equivalents (Alberta PIPA, BC PIPA, Quebec Law 25), we rely on your meaningful consent. By creating an account and continuing to use the Service, you consent to the collection, use and disclosure of personal information for the purposes described in this policy. You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting privacy@centralrentals.ca.
We share the minimum personal information necessary with carefully selected service providers acting on our behalf: Stripe Inc. (payments), Apple Inc. (Apple Sign-In), Google LLC (push notifications via FCM, Maps, optional Google Business Profile integration), and Canadian background-check providers when you explicitly request tenant screening. All providers are bound by contracts requiring confidentiality and use of data only for the purposes we specify. We do not sell, rent or trade your personal information to advertisers.
Some service providers store or process data outside Canada (primarily the US). When personal information is transferred outside Canada, it remains subject to the laws of the receiving jurisdiction, which may differ from Canadian law. We take contractual and technical safeguards (encryption in transit, data-processing agreements, vendor due-diligence). For information about specific transfers, contact privacy@centralrentals.ca.
Industry-standard technical and organizational measures: TLS 1.2+ for all data in transit; bcrypt password hashing; least-privilege access controls; encrypted database storage; audit logging on sensitive actions; periodic security reviews. If you believe your account has been compromised, contact privacy@centralrentals.ca immediately.
We retain personal information for as long as your account is active and as required to fulfil the purposes in this policy or to comply with our legal obligations (e.g. seven years for financial records under Canadian tax law). When personal information is no longer required, we delete or de-identify it.
Under PIPEDA you have the right to: (a) access the personal information we hold about you; (b) request correction; (c) withdraw consent (subject to limits); (d) request deletion, subject to retention obligations; (e) lodge a complaint with the Office of the Privacy Commissioner of Canada (priv.gc.ca). To exercise these rights email privacy@centralrentals.ca. We will respond within 30 days.
The Service is not directed to children under 16. We do not knowingly collect personal information from children under 16.
On centralrentals.ca we use strictly-necessary cookies (session, CSRF, language) and optional analytics/preference cookies. You will be asked to consent before any non-essential cookies are set. In the mobile app we do not use third-party advertising or tracking SDKs.
We may update this policy from time to time. Material changes will be notified in-app and by email at least 14 days before they take effect.
