10 Tenant Communication Scripts Every Canadian Landlord Needs
Most tenant disputes get worse because the landlord writes the first message emotionally. These 10 scripts are written for the worst-case (you end up at the RTA tribunal showing the message log) but read like a friendly nudge to a tenant who'll comply within 48 hours.
Late-rent nudge (Day 1)
"Hi {tenant}, I noticed today's rent payment hasn't landed yet — could you confirm whether it's on the way, or whether something's changed? Happy to help you with PAD if e-transfers are failing."
Noise complaint from a neighbour (Day 1)
"Hi {tenant}, I received a complaint from a neighbour about noise on {date, time}. Could you let me know what was happening? I'm not assuming anything — just wanted to flag it before it escalates."
Right-of-entry notice (24-48h notice)
"Hi {tenant}, this is your formal 24-hour written notice of entry under {RTA section}. I'll be at the unit on {date, time} for {reason}. If that time doesn't work, please reply with two alternative slots in the next 48 hours."
Lease renewal offer (90 days out)
"Hi {tenant}, your lease expires on {date}. I'd love to offer you a renewal at {new rent} for another {term}, which keeps you below market and reflects how much I've appreciated having you as a tenant. Let me know by {date} if you'd like to renew."
Damage discovered during inspection
"Hi {tenant}, during my inspection on {date} I noticed {specific damage}. Could you let me know how it happened? I'll need to assess the cost — but I'd rather work through it with you before bringing in the security-deposit conversation."

QWhat's the deadline to file rental income to the CRA?
Rental income is reported on the T776 form filed with your personal T1 return. The deadline is April 30 of the year after you earned the income (June 15 if you're self-employed, but any balance owing is still due April 30).
QDo I need to charge GST/HST on rent?
Long-term residential rent is GST/HST-exempt. Short-term rentals (under 30 days) are taxable once you exceed the $30,000 small-supplier threshold across all your business activities.
QCan I deduct mortgage payments?
