Introduction

This policy outlines how Central Rentals and Property Management Inc. handles personal information it collects, uses, and discloses, in line with applicable privacy laws (collectively "Privacy Law").

Purpose

1. This Privacy Policy explains how we manage personal information and protect individual privacy during our business activities, in accordance with Privacy Law.

Personal Information

1. For this policy, personal information means details about an identifiable person, such as name, birth date, address, and personal email.

Accountability

1. Protecting the confidentiality of personal information is a key principle at Central Rentals. While collecting personal data is part of doing business, we are committed to doing so legally.

2. Our privacy approach is based on the following principles:

• We will only collect, use, or disclose personal information for authorized purposes permitted by Privacy Law.

• We will keep personal information confidential, accurate, and secure.

• These principles guide how we handle personal data.

• All privacy-related practices will be applied diligently and carefully.

• Employees are responsible for following this policy regarding personal information they control. We have appointed a Privacy Officer to oversee compliance.

• Upon written request, individuals can learn about their personal data’s existence, use, and disclosure, and access that information.

• Personal data will only be used for stated purposes, and access will be limited to necessary personnel.

Purposes for Collecting Personal Data

(a) As a landlord:

1. We evaluate prospective tenants and collect basic info if they rent from us. We use personal data to serve tenants, manage properties, ensure safety and security, facilitate access, and process rent and fees.

2. We verify provided information, check references, and conduct background checks, including contacting references or public sources, credit agencies, or consumer reports.

3. Collected data may include name, gender, family status, address, emails, phone numbers, income, driver’s license, date of birth, and may include video footage from common areas for security.

4. Data from tenancy may be used to enforce lease terms or address rent arrears.

5. We do not collect personal info from website visits but use cookies to analyze traffic and improve user experience. Trusted third parties may track this data.

(b) As an employer:

1. We gather personal info from employees and candidates for hiring, payroll, and benefits, including name, address, contact info, banking details, social insurance number, driver’s license, and dependents.

2. Employee data may also be monitored via video in common areas.

Consent

1. Consent for prospective tenants is given by signing the rental application, authorizing credit checks, reference contacts, and background checks. Additional consent is given upon signing the lease.

2. Withdrawal of consent may prevent approval or provide services.

3. Employee and candidate consent is via application or job acceptance.

4. In emergencies, we may collect data without explicit consent, such as via reports from relatives or during building emergencies, or when investigating breaches.

Limiting Collection

1. We only collect data necessary for specified purposes and will notify owners of new purposes with their consent.

2. Data collection is fair and lawful, with staff explaining why data is needed.

Limiting Use, Disclosure, and Retention

1. Data will not be used or disclosed beyond its original purpose unless with consent or legally required.

2. Personal information may be shared with utility providers or insurers to facilitate services, provided they agree to comply with Privacy Law.

3. We only disclose personal data as legally permitted, never selling or transferring outside of Central Rentals without approval.

4. Third parties must also protect personal data per this policy.

5. We retain data as per legal requirements, keeping relevant info accessible and securely destroying outdated or unnecessary data.

Accuracy of Personal Data

1. We aim to keep data accurate and up-to-date, updating only as needed.

2. We assist individuals in understanding their records and may charge a fee for access requests. Changes can be requested by contacting our Privacy Officer.

3. Mistakes can be corrected upon request, with notifications sent to those who received the data.

4. Individuals must disclose material info and inform us of changes. Access may be denied for legal, security, or third-party reasons, with reasons provided in writing.

Safeguarding Personal Data

1. Data is stored securely at our Edmonton location, with access limited to authorized staff and service providers.

2. Security measures include secure premises, passwords, encryption for electronic banking info, and restricted access to physical files.

Challenging Compliance

1. Complaints or inquiries about our privacy practices should be addressed in writing to our Privacy Officer at the specified address or by calling 780-405-2498. We will investigate and respond in writing.
